Events, groups & deposits
Bonnie handles everyday bookings herself and knows when to hand a bigger request to your team. Here is how groups, events and deposits work.
Large groups
Above a group size you set, Bonnie stops booking through the reservation system and instead refers the caller to the right contact (an email, a form, or a transfer). She can send the contact details by WhatsApp so nothing gets lost. Your reservation system already blocks oversized bookings, so you do not need to repeat the maximum in your prompt.
Events
For private dinners, weddings, company parties and the like, Bonnie collects the details and passes the request to your team:
- A description of the event.
- The preferred date and time.
- The number of guests.
- The caller's name and phone number.

Deposits
Some reservation systems (for example Formitable) ask for a deposit:
- Bonnie tells the caller about the deposit once they have chosen a product or experience.
- The caller gets a link by SMS or WhatsApp to complete the payment.
- A booking with a deposit is only final once the payment is done. Bonnie says so: the reservation is created but confirmed once the card details are entered.
Changing a booking that has a deposit
- Fewer guests: safe. Bonnie leaves a message for the venue; the deposit stays and is settled.
- More guests: Bonnie transfers to the venue, since this affects availability and the deposit amount.
